Due to revised guidelines from the New Jersey Department of Insurance, we must discontinue offering the household premium discount for new Accendo (ACC) Medicare Supplement applications in New Jersey, effective April 6, 2022.

  • You can continue to submit applications for Accendo Medicare Supplement in New Jersey, but starting April 6, New Jersey Accendo Medicare Supplement applications will not be eligible for the household discount.
  • This does not impact existing policies. They will continue to receive their existing household premium discount.

This is a temporary change as we work to update our household premium discount requirements to meet the new guidelines required by the New Jersey Department of Insurance. We will let you know once we are able to offer the household premium discount again.

The final days are approaching for the Ascend enrollment app, as it’s being discontinued on March 31.

Please download your past enrollments and previous Scope of Appointments from the Ascend app by March 31, as Ascend will not be available after that date. If you have any questions, reach out to your Aetna Medicare Broker Manager.

Getting started with Medicare Marketing Studio

The Aetna Medicare Marketing Studio is a one-stop online tool for Individual Medicare marketing materials. You can customize and download marketing materials plus you can print everything from flyers and ads to mailers and posters. It now features an enhanced user interface and more customization options. 

Using the Studio, you can:

  • Quickly find marketing pieces for your market
  • Create materials to download, print and ship, or print and send by direct mail
  • Buy materials in bulk at a lower price

Remember, you can download all Studio materials for free. You also have the option to print and ship from Studio.

How to start using the Studio

It’s easy. When you become ready to sell our MA/ MAPD products, you’ll receive a welcome email from Studio. Next, you can visit www.aetnahub.com/mms and self-register on the right side of the screen under “New users.” Your username will be your National Producer Number (NPN), and you can select your password.

Members can use their OTC plan benefit at select CVS Pharmacy locations

If a member’s Aetna Medicare plan has an OTC benefitthey can use the benefit by placing an order online or by phone. Let your members know they can also use the benefit in select CVS Pharmacy locationsRemember, not all CVS Pharmacies offer the in-store OTC benefit. Members can find out if their local pharmacy participates by checking online.

Compliance info

Make sure you include your client’s permanent residence address on their enrollment form or their application may be denied

Follow these best practices to help prevent application denials 

  • Document the enrollee’s correct permanent residence address on the enrollment form, in addition to their mailing address.
     
  • If the enrollee indicates that they do not have a permanent residence address and must use a PO Box, explain CMS’s requirements. CMS generally does not accept a PO Box as a permanent residence address.
      
  • In the case of homeless individuals, CMS does consider a PO Box to be acceptable as a permanent residence,* but Aetna must still contact the enrollee to verify this information. In that situation, let the enrollee know that Aetna will be contacting them by phone or letter and that they need to be ready to respond. If the enrollee does not respond, Aetna must deny the enrollment.

*Homeless individuals may also use the address of a shelter or clinic or the address where the individual receives mail, (e.g., social security checks), as their permanent address.

per qualifying Med Supp application …and more

Submit qualifying applications of Medicare Supplement and ancillary products from January 1 through March 31, 2022, to earn a bonus. The more qualifying applications submitted and policies issued, the more bonus dollars you can earn. 

You can earn a $100 bonus per underwritten Medicare Supplement electronic application. And for qualifying ancillary products, you can receive a $25 bonus per application.

How to qualify for a Medicare Supplement bonus

Submit qualifying Medicare Supplement applications and receive the following bonuses:

  • Electronic applications
    $100 bonus per underwritten application
    $25 bonus per open enrollment application
  • Paper applications 
    $25 bonus per underwritten application; 
    $10 bonus per open enrollment application

To receive a payout, you must submit a minimum of 5 signed applications (underwritten, guaranteed issue, or open enrollment) and policies must be issued by the dates indicated below.

How to qualify for an ancillary bonus

Submit qualifying applications of any of the qualifying ancillary products and receive a $25 bonus per application (electronic and paper):

  • NEW Dental, Vision, and Hearing Plus
  • Dental, Vision, and Hearing
  • Cancer and Heart Attack or Stroke/Plus
  • Hospital Indemnity/Flex
  • Recovery Care/Nursing Facility Care/Home Recovery Care
  • Home Care/Plus
  • Protection Series Final Expense

Policies must be issued by the dates indicated below, with a $180 minimum annual premium.

Update: Nevada birthday rule

As of January 1, 2022, individuals enrolled in a Medicare supplement policy in Nevada may change their plan or insurer during an annual enrollment period of up to 60 days following the first day of their birthday month.

  • The new plan choice is limited to any Medicare supplement policy that offers benefits equal to or lesser than those provided by the current Medicare Supplement plan.
    (Examples: Plan F to Plan F, Plan F to Plan A, Plan G to Plan B)
  • Applications must be submitted within 60 days from the first day of the applicant’s birthday month, and the chosen effective date must fall within 90 days from the first day of the applicant’s birthday month. (Example: If an applicant has a May 25 birthdate, the effective date must fall between May 1 and July 30.)
  • For proof, we can accept a copy of the policy ID card that includes the name and plan.

How commissions are paid for birthday rule policies Birthday rule cases are replacements. As such, commissions are paid similar to guaranteed issue cases, not open enrollment.

What you need to know about over-the-counter at-home COVID-19 tests

Last week, the Biden administration announced a requirement for commercial health plans to cover the cost of over-the-counter at-home COVID-19 test kits. Please note, this guidance doesn’t apply to Medicare or Medicaid plans. For Medicare members, there is no reimbursement for over-the-counter rapid COVID test kits that they may purchase on their own

If you receive a call from a member asking if their Medicare Advantage plan covers at-home rapid COVID testing, let them know:

  • Medicare Advantage plans cover all COVID-19 tests ordered by a doctor.
  • We will cover one self-ordered at-home test that is processed in a lab.
  • At-home rapid tests that are self-conducted are not covered at this time. (This will not prevent a Medicare member from accessing a “free” at-home rapid test that may be available in the community.)

What you need to know about the Special Election Period (SEP) for dual-eligible and LIS eligible clients

Dual-eligible and other LIS eligible individuals can enroll in, or disenroll from, an MA plan once per calendar quarter through a SEP. Here’s what you need to know about this SEP.

Review OEP do’s and don’ts

During the Medicare Advantage OEP, which runs from Jan. 1 to March 31, beneficiaries who are enrolled in an MA/MAPD plan have a one-time opportunity to change plans. This election period is not available to those with Original Medicare or those enrolled in a standalone Prescription Drug Plan.

Be sure to include your client’s phone number on their enrollment form

This is important because we use the applicant’s phone number to:

  • Contact them with questions about their application form.
  • Welcome new members and answer their questions.
  • Initiate certain plan benefits like the post-discharge meal benefit. If the phone number is missing on the application, the meal vendor will not be able to deliver food to the member.

Help your client update their PCP – Call us on their behalf

Don’t forget! You can call the Aetna Medicare Broker Services Department at 1-866-714-9301 to request certain types of changes and updates, on behalf of your clients who are Aetna members. Select prompt 8 and then from there, you need to select the right product type and member ID identification. You will then be routed to the correct service center for support. 

For example, you can now call to:

  • Update the primary care physician (PCP) on file
  • Inquire about a claim or billing issue
  • Change a mailing address, and more

This policy allows you to deliver a more seamless customer service experience to your clients. Here’s how to make a request.

What to expect for commission payout of 2022 AEP Medicare business

The first payout of 2022 will begin to transfer to bank accounts on January 4th. To learn more go to the  Medicare commission payout schedules located on Producer World in the Individual Medicare area from the Compensation tab.

Did you know? Members can pay their monthly premium at their local CVS store

Members can pay their premium in person at their local CVS store while out running errands or picking up their prescriptions. All monthly invoices contain a barcode giving members the ability to pay their premium at most CVS stores. This option is not available at CVS pharmacies within Target® and Schnucks®.
